Fil-Euro United International Sports Programmes (“Fil-Euro United”, “we”, “us”, or “our”) is committed to protecting the privacy and personal data of all participants, parents, guardians, and visitors who engage with our programmes, events, platforms, and services. This Privacy Policy explains what personal information we collect, how we use it, with whom we share it, and the rights available to you. By registering for, accessing, or participating in any Fil-Euro United programme, event, website, or service, you acknowledge that you have read and understood this Privacy Policy. If you are registering on behalf of a minor, you confirm that you are the parent or legal guardian and that you consent on their behalf

Data Controller: Fil-Euro United International Sports Programmes, including its predecessors, successors, licensors, affiliates, partners, staff, coaches, and authorised representatives. 2. Personal Data We Collect
We collect the following categories of personal data:
• Registration & Identity Data: Legal name, date of birth, nationality, gender, passport or identification details.
• Contact Data: Email address, phone number, home address, emergency contact details.
• Health & Medical Data: Medical conditions, allergies, injury history, and any health information provided to facilitate safe participation. This is treated as sensitive data.
• Financial Data: Payment details necessary to process programme fees and deposits. Payment card data is processed by our authorised payment processors and is not stored by us.
• Media Data: Photographs, video footage, and audio recordings taken during programme activities.
• Technical Data: IP address, browser type, and usage data collected when you interact with our online platforms or registration systems.
• Programme Data: Performance notes, attendance records, and coaching feedback.
3. How and Why We Use Your Data
We process personal data only where we have a lawful basis to do so. Each processing activity is grounded in one of the following bases: contractual necessity, a legal obligation, the protection of vital interests, legitimate interests of the Organisation, or your consent.
Programme registration and administration is carried out on the basis of contractual necessity — it is essential to deliver the services you have signed up for.
Processing payments and managing deposits is similarly required to fulfil our contractual obligations to you.
Ensuring participant safety and managing medical emergencies may require us to process health information on the basis of vital interests or legal obligation.
Communicating programme updates, schedules, and changes is carried out on the basis of contractual necessity and legitimate interests.
Publishing photos and videos for promotional purposes is done only with your consent, which may be withdrawn at any time by written notice to our Privacy Officer.
Complying with legal and regulatory obligations requires us to retain and share certain information as directed by applicable law.
Improving our programmes and services is carried out on the basis of legitimate interests, where we have assessed that those interests are not overridden by your rights.
4. Sensitive Data (Health & Medical Information)
Health and medical information is classified as sensitive personal data. We collect this information solely to ensure the safety and wellbeing of participants during programme activities. This data is accessible only to authorised coaches and staff on a need-to-know basis, and is never shared with third parties except emergency medical providers or where required by law. It is stored with additional security measures commensurate with its sensitivity, and retained only for the duration necessary to fulfil the purpose for which it was collected.
Fil-Euro United is not a medical organisation. Nothing shared with our staff or coaches constitutes medical advice or treatment. Participants should always consult a qualified healthcare professional before participating in our programmes
5. Sharing Your Personal Data
We do not sell, rent, or trade personal data. We may share data only in the following circumstances:
• Third-Party Service Providers: Tournament organisers, accommodation providers, transportation companies, and training facilities engaged to deliver programme services. These parties are contractually bound to use data only for the agreed purpose and to maintain appropriate security standards.
• Payment Processors: Authorised financial institutions and payment platforms used to process programme fees.
• Legal and Regulatory Authorities: Where required by applicable law, court order, or government authority.
• Emergency Services: Medical personnel or emergency responders where necessary to protect the vital interests of a participant.
• Affiliated Entities: Successors, licensors, or affiliates of Fil-Euro United, subject to the same privacy protections described in this Policy. We require all third parties to respect the security of your personal data and to treat it in accordance with applicable data protection law.
6. International Data Transfers
Fil-Euro United operates international sports programmes. As a result, personal data may be transferred to, and processed in, countries outside your country of residence. Where such transfers occur, we take appropriate steps to ensure that your data receives a level of protection consistent with applicable data protection law, including through the use of standard contractual clauses or equivalent safeguards where required.
7. Media, Photography, and Promotional Use
Photographs and video footage may be captured during Fil-Euro United programme activities. By participating in our programmes, participants and their guardians acknowledge that such media may be used for promotional and marketing purposes, including on our website and social media channels.
If you wish to be excluded from any promotional use of media, you must submit a written request to info@fileurounited.com prior to the commencement of the programme. We will make reasonable efforts to honour such requests; however, we cannot guarantee the removal of media already published prior to receipt of your request.
No images or footage of minors will be used in any promotional material without the prior written consent of a parent or legal guardian.
8. Data Retention
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law. Registration and programme records are kept for 7 years from the end of the programme year. Medical and health information is retained for the duration of participation plus 3 years, unless a longer period is required by law. Financial records are held for 7 years from the date of transaction. Media such as photos and video is retained until consent is withdrawn or a removal request is honoured. Technical and usage data is deleted after 12 months from collection. When data is no longer required, it is securely deleted or anonymised.
9. Data Security
We implement appropriate technical and organisational measures to protect personal data against accidental loss, unauthorised access, disclosure, alteration, or destruction. These measures include access controls, encryption of sensitive data in transit and at rest, and staff training on data protection obligations. No method of electronic transmission or storage is completely secure. While we strive to protect your personal data, we cannot guarantee absolute security. In the event of a data breach that is likely to result in a high risk to your rights and freedoms, we will notify you in accordance with applicable law.

Our programmes frequently involve participants under the age of 18. We take the privacy of minors seriously. Parents and guardians may access, amend, or request deletion of their child’s personal data by contacting our Privacy Officer. We do not knowingly collect personal data directly from children under the age of 13 without verifiable parental consent.

Our registration platforms and website may use cookies and similar tracking technologies to enhance user experience, analyse site usage, and support secure login.
